1. Sign in to your Office 365 email.
2. Click on your name in the top right hand corner.
3. You will see a head and shoulders icon with ‘change’ underneath.
4. Click ‘change’ and a window will open with a folder icon – this is the upload button.
5. Browse to locate a photo on your local computer that you want to use as your profile picture. Photos must use one of the following files extensions: jpg, gif, png, bmp.
6. Once you are happy with your photo, click save. Your profile picture will appear in all Office 365 services that display profile photos

When you accidentally delete an email message, contact, calendar item, task or entire folder from your Office 365 email account, you can sometimes recover such items. For example, you can recover deleted items if they still remain in your Deleted Items folder. You also have 14 days to recover some items even after the Deleted Items folder is emptied.

1. Sign in to your Office 365 email.

2. In your email folder list, right-click Deleted Items, and then click Recover deleted items.

3. Select the item you want, and then select Recover.

The item will be moved to its default location. Messages will go to your Inbox, calendar items will go to your Calendar, contacts to your Contacts folder, and tasks to your Tasks folder.
You can also purge items that are shown in the Recover deleted items box. Select the item, and then click Purge. If you purge an item, you won’t be able to use Recover deleted items to get it back. Purging a message won’t remove it from any system backups that were made before you purged it.

You can create a personal email group, which is a group that is stored in your Contacts folder and can contain entries from your personal Contacts and from your company address book.

Please note that you will not be able to share this group with others.

  1. Sign in to your Office 365 email.
  2. On the Office 365 Toolbar at the top of your screen, click on “People”.
  3. Click on “+ New” option on the top left of the page that opens, click on “create group”.
  4. This will open a blank group form. Enter the group name that you want and any notes. To add members, type the name of the person you want to add in Members. Outlook Web App will search for a match in your Contacts and in your company address book. If a match isn’t found, you can search for that person. You can also type an email address directly in Members. Press Enter to add your selection to the group. when you’re done, select “Save” to save your changes or “Discard” to cancel.
  5. The group will be listed under “My Contacts” and you will be able to search and send emails to this group as you would to one of your contacts.
  6. To add or remove entries in the future, select the group in the list and then select “Edit”. To delete the group entirely from the list click on the “…” to the right of “Edit” and the delete option will appear, or the select the group in the list and press the delete key.

Instant Messaging is a different way of communicating that has different benefits not gained by email and telephone:

o Instant free and fast one to one communication with fellow colleagues in a private window
o Fast messaging for natural flowing conversation, useful if you want to ask a quick question.
o No cost of a phone call
o Reduces the email in your inbox
o Presence indicator makes it easy to see who is available
o Discrete way of communicating when in meetings.

To use instant messaging in Office 365 you will first need to make sure you have signed in.

Sign in to IM
1. Sign in to your Office 365 email
2. In the upper right hand corner of the screen, click on your profile name or picture and select “Sign in to IM”.
3. Please note that you can click on your profile name again to choose or quickly change the status of your availability – available, busy, do not disturb, be right back, appear away.

Sign out to IM

1. Sign in to your Office 365 email.
2. In the upper right hand corner of the screen, click on your profile name and select “Sign out of IM”.

To start an IM session

1. Sign in to your Office 365 email.
2. Find the person you want to send an instant message to. You can look them up in your People list, or find a message from them and select their name to see their contact card. Click on the IM speech bubble to open an IM session with that person. (See image below)
